    Position Summary

    The Benefits Coordinator serves as the primary point of contact for employee benefits matters and is responsible for the administration of all benefits systems and products.

    Essential Duties and Responsibilities

    Essential Duties & Responsibilities:

    • Maintains comprehensive knowledge of benefit programs, plans, policies, and processes.
    • Administers various employee benefit programs such as group insurance, life, medical, dental, accidental death and disability insurance.
    • Operates the online benefits module.
    • Analyzes discrepancy reports from vendors
    • Audits payroll arrearages and reconciles export file reports before payroll deadlines.
    • Tracks FMLA usage.
    • Assists employees and consults with plan providers’ account representatives to address outstanding issues regarding medical claims.
    • Manually processes new hire enrollment.
    • Resolves administrative problems with the carrier representatives and brokers.
    • Processes qualified life events in benefits module.
    • Processes new hire enrollment reports and communications.
    • Processes short term disability claim forms.
    • Assists employees with questions via email or phone regarding benefits related issues.
    • Coordinates COBRA coverage with third party administrator.
    • Oversees maintenance of employee benefit files and updates other employee records.
    • Designs and distributes materials for benefit orientations, open enrollment and summary plan descriptions.
    • Performs other duties as assigned.

    Requirements & Skills:

    • Minimum of an Associate Degree, or an equivalent combination of education and work-related experience.
    • Minimum 3 years’ experience as a benefits coordinator, preferably in a multi-site, multi-state organization.
    • Fluency in English.
    • Excellent communication skills, both oral and written.
    • Outstanding customer service skills.
    • Knowledge of all pertinent federal and state regulations affecting employee benefit programs, including ERISA, COBRA, FMLA, ADA, SECTION 125, Workers’ Compensation, Medicare, Social Security and Department of Labor requirements.
    • Ability to meet deadlines, prioritize assignments and handle multiple tasks simultaneously.

    Physical Demands & Work Environment:

    The Benefits Coordinator must be able to stand, sit, reach, climb, conduct telephone conversations, use electronic mail, write letters and memos, conduct face-to-face discussions with individuals or groups, make decisions without supervision, make decisions that impact the results of co-workers, work near others, and work indoors in environmentally controlled conditions.  In addition, the Benefits Coordinator must be able to lift to 20 pounds, and be able to handle, control or feel objects, tools or controls.  Repetitive movements are required.  Work may be conducted in extremely bright or inadequate lighting conditions.
